Medical Transcription Job Appeals to Rural Residents

WAHPETON, N.D. - Colleen Keller has been driving about 2 1/2 hours a day for the last nine months to learn how to transcribe medical reports. Her next commute should be down the hallway of her rural Gwinner home.
Keller is joining a growing number of rural North Dakota residents who are working from home on their computers. She's one of about 30 students enrolled in the one-year medical transcription program at North Dakota State College of Science.

"To be able to work for a big facility and stay in the rural area is a huge benefit," said Keller, 43.
Eide Bailly, an accountancy and consulting firm with offices in North Dakota, South Dakota, Minnesota, Montana, Iowa and Arizona, has announced it will hire about 100 medical transcriptionists in the next year, and up to 300 in the next five years.

"There are so many people in small communities that are looking for opportunities like that," said Penny Fedje, director of the medical transcription program and NDSCS. "This is something that can keep younger people in the state."

Of the 15 transcriptionists working out of Eide Bailly's Minot office, nine of them live in rural areas or small towns, said site manager Ann Solberg.

"We're flexible with scheduling, which can be good for a farm family that may have chores or other work to do," Solberg said. "And someone with experience can make a pretty darn decent wage."
Patty Munro, 33, of rural Page, quit her job as an accountant in town to raise her children and help her husband on the farm. She decided to enroll in the NDSCS program after it was advertised as a well-kept secret.
"To be able to work from home and have the benefits and the pay I'm getting, I don't think I could be doing anything better," said Munro, who works for Fargo-based MeritCare.

Transcriptionists are paid on performance, but most earn between $17,000 and $22,000 a year, an NDSCS report said. Top workers can make more than $20 an hour, Solberg said.
Vicki Brakke works as a transcriptionist near Aneta, where her husband is a farmer. She packs up her computer before Thanksgiving and moves to the Seattle area, where they spend winters.
"I just take the job along," Brakke said. "I love telecommuting. It's really the ideal job for people who live in rural areas."

Medical transcriptionists listen to dictated recordings by physicians and other health care professionals and transcribe them into documents. It requires an understanding of medical technology, anatomy, procedures and treatment.

"Medical is its own language altogether," Fedje said.
Transcriptionists must achieve a 98 percent accuracy rate, Keller said.
"That's not much room for error," she said. "That's good, because it needs to be correct, but it does put a lot of pressure on you initially."

About 75 students have completed the NDSCS program since it began in 2000. Eide Bailly recently gave the college hardware and software to help with the training, which also is available through the Internet, Fedje said.
Not all graduates of the program are qualified to work from home, Fedje said. Some students are required to work on site for six months to a year, depending on ability.

"I really enjoy typing and I think it's a career where you're always learning new things," said Jessica Kubischta, 20, from Dickinson, who's set to graduate. "And being able to eventually work from home is a good deal, too."

Secretarial services - A little-known market for transcription work

Business transcription is one of the best profit centers for secretarial services. Many professionals dictate documents that need to be transcribed. Transcribing is just a fancy term for typing dictated materials. The transcriptionist listens to the dictated recording and transcribes or types the dictation.

If you know how to type, you can provide transcription services for businesses. You don't have to be a medical transcriptionist or know medical terminology.

Who needs transcription services?

Workshop/seminar leaders and public speakers often transcribe their seminars and talks. Television stations and independent television producers need transcription. Insurance companies farm out transcription work but often require some knowledge of medical terminology. Authors dictate materials for their books.

If you have specialized training such as nursing, massage therapy or physical therapy, you have knowledge of medical terminology and can provide medical transcription in areas you are knowledgeable about.

An easy way to break into medical transcription without extensive knowledge of medical terminology is to target psychologists. Several of my associates got transcription work that way.

Don’t let the small size fool you. A business card is one of the least expensive and most powerful forms of advertising you possess. Your business card is your introduction to potential clients. It’s your opportunity to make an impression with every person you come in contact with. You will most likely need to order 500 or 1000 cards (1000 is much cheaper per card). But what are you supposed to do with 1000 cards?

Business cards don’t have to sit on a shelf collecting dust. I suggest taking a page from the French. When I was in Paris, every business had and used business cards. Even the restaurants and bars used them effectively: wait staff presented a business card either with the check or directly to the diners after the check was paid. It’s a simple, effective technique that works because everyone takes them. Use the same idea for yourself. Think of your business card as a mini billboard for your company; you need it to be seen to make an impact.

Depending on the type of business, there are several ways to showcase your card. You never know who is going to pick it up and call you, or give it to a friend. Widely-used services can distribute their cards in everyday places. For example, my sister, who runs a manicure business, often puts business cards in places where the general public might easily see and pick up her card. She hands out her cards like confetti. She places them on bulletin boards in stores and fast food shops, inside magazines at doctors’ offices and on the sink in restrooms. She also has a bulletin board in her salon and encourages customers to post their cards, in return for passing out her cards to others. This last idea can be used, with a variation, for any business. When handing out business cards to an individual, give out three at a time, asking them to distribute them to others they may think might be interested in your business. Do the same in return.

Keep business cards within hands reach. You should place some in your briefcase, purse, pocket, and on the front desk or reception area of your business. With cards readily available, you’ll always be able to introduce yourself with them.

Hand your card to the receptionist at the doctor’s office, the hostess at the restaurant, or the technician at the auto repair shop. Include your card with all correspondence, including letters and thank you notes to customers, potential customers and business associates. And don’t forget including one in all your bills. Someone is opening your bills, and you never know who that someone may be.

When you hand out your card, it’s important that you make it memorable. Write a brief message on it before handing it to someone: your extension number or direct phone line, “Ask for me personally,” “Best wishes!” or “Thanks!” all work well.

Make your business card do double duty and point it out to the person you’re giving it to. Print a coupon or special offer on the backs of your cards. Also include these special cards with invoices to current customers. If you offer a referral incentive, print it on the card.

It’s all in thinking outside the box when it comes to the box of cards sitting in a desk drawer. The French don’t use the hard-sell like Americans do, but they realize ‘Le Card’ is the quickest way to turn a brief encounter into a long-term customer.

I just found a stack of business cards hiding under some papers on my desk. I had collected them at a recent speaker's convention to add to the distribution list for my free electronic newsletter. (I invite you to sign up for it at http://www.TheStayAtHomeCEO.com )

I was amazed at how little I remembered about these people! I met them, shook their hands, and conversed with them; but all I have to remember them by is that little piece of card stock.It suddenly dawned on me that those business cards have a big job to do. Is yours doing a good job?

Whether you realize it or not, whether you like it or not, people get an impression of you just by the card you give them. Oh, sure, many times you've already met them face to face (like I did at the convention) before you even whip out that card, and a first impression has been made, but what about when the card appears three weeks later and they say "Who WAS this?" What do they do?

First, the quality of the card speaks volumes about you. Not only the quality of the paper, but the print quality as well.Flimsy cards that look like they were made on a copier leave an impression all right; a bad one.

Colors/patterns/designs: do they convey an image that you want to have? Professional? Fun loving? Dignified? What is on the card is important too. Here are just a few things that your business card has to include. (Some are obvious, some are not.)

Who you are and how to get in touch. Duh! Remember the fax number and, if you have one, toll-free number. In fact, if you do have a toll-free number, project class and good service by showing it as your only voice number. Whatever phone number you show, "bold" it so it stands out.

What you do. A job title is nice, but does it really convey what function you perform and what your responsibilities are?

What your company does. "ABC Flowers" tells a little about what you do, but you need to add something like "Specializing in birthday arrangements". "ABC & Associates" doesn't say ANYthing about what you do; is that a consulting firm? If so, what kind? Computer? Legal? Erosion control?

Products and services. Briefly list some of what you or your company offers. Brevity is key; just say enough to get them to ask for more information.

Internet information. Don't forget your web address and e-mail address, too. (WHAT? You don't have web or e-mail addresses? GET THEM, AND GET THEM NOW!)

That's a lot of stuff to get onto a 2" x 3 1/2" card, isn't it? Don't forget the back of the card, too! That's a lot of "real estate" which is often wasted, and the extra cost is minimal.

Your card does have a big job to do; it's cheap, front-line advertising. Make the most of it!

Your skills will help determine what secretarial services you'll offer. For example, if you've got a good typing speed, you can provide transcription services. If you have design skills, you could provide desktop publishing, graphic design, or graphic layout. If you have legal or medical experience, you may want to target legal or medical clients.

Here are some secretarial services you can provide to home businesses, small businesses, and individuals. You don't need to offer all these services. Analyze your skills. Ask your clients what they need.

Typical services provided by secretarial services:

Secretarial Services - creating readable documents.

When running a secretarial service, it's important to create good-looking documents for yourself and your clients.

Follow these guidelines to make your documents more readable and appealing.

  • In general, serif fonts are easier to read for body copy. Serif fonts such as Times Roman and Bookman have curly bars at the end of the lines. Sans serif fonts such as Arial and Helvetica have straight ends and are often used for headlines.
  • Make headlines larger and bolder than the text to attract the reader to the text.
  • Limit the number of fonts and graphics in your documents. Too many typefaces make a document hard to read.
  • Use italics, underline, and bold sparingly. Long sentences in italics are hard to read. When overused, bold loses impact and darkens the page.
  • Sentences or paragraphs in all capitals letters are hard to read. Use capitals only for short headings. For longer headings, use upper/lower case.

Professional-looking documents will make a good impression and will increase credibility and sales.

With typewriters being almost a thing of the past, you would think that the typewriter mentality would go along with it. But old habits die hard; and there's one that makes me cringe every time I see it - lining up row of text with the spacebar.

This worked very well with typewriters and even most word processors because you could count every character (including the space) to be exactly the same size. For example, let's say you wanted to create 4 rows of text divided into three columns. You would start off by simply typing the text you wanted in the first column and then hit the spacebar repeatedly until you got to where wanted the next column of text, and repeat these steps for the third column of text. For the next 3 rows, you would press enter, type your first block of text and hit the spacebar again until you were in the same spot that the previous 2nd column started, and the same with the 3rd column.

This technique stills works in today's word processing programs, as long as you continue to use fixed width fonts like Courier or Courier New. There's the catch, you typically won't use fixed width fonts to type your documents with. Instead, you'll be using TrueType fonts like Times New Roman and Arial where each character size is different; therefore, the old spacing technique will never work. Don't be lazy and settle for jagged alignments; learn the new and improved techniques to line up text.

Using the Default Tab Stops

The simple way to line text is to use the default tab stops that are set with every new document (typically every half inch). You would use the same technique as before, except you would hit the tab key instead of the spacebar. Using the tab key actually gets you to your spot a lot faster and you don't have worry about lining up text because the tab stops are in exactly the same place on every line.

Creating Your Own Tab Stops

Creating tab stops in your document is not a new technique. You can actually create tab stops on a typewriter; but it was considered an advanced technique, so only expert typists used them. The concept is still the new, but Microsoft Word makes a lot easier to create them. To create your own tab stops, simply click in the bottom half of the Ruler Bar where you want them each of them set. You'll know it's set when you see an "L" in the ruler bar. After they're all set, you only have to hit the tab key once and it will automatically go the next stop. If you need to make a change to any tab stop location, just click and drag the "L" along the ruler; you can also click and drag the "L" off the ruler to remove a tab stop.

Changing the Tab Alignment

The tab stops we've discussed so far have all been aligned to left. You can change them from left tabs to either center, right, or decimal tabs (good for aligning numbers with a decimal in them). To do so, simply click on the box directly to the left of the ruler bar that has an "L" in it; each time you click, the symbol changes to a different tab alignment. However, this technique is the hardest to learn and to manage. There's a better to creating lists with different alignments.

The Best Technique - A Table

Using a table is by far the best way to create any type of list you want. You simply create a table with the number of columns and rows that you need, adjust the column widths by clicking and dragging the column lines, and just type your text in each cell. You can change the alignment by simply using the alignment buttons you normally would for a paragraph. The added advantage of tables is being able to format them with borders and shading. Typically the top row would contain your headings, which you could format with bold text and a gray background. If you don't need any special formatting, simply highlight the table and remove all the borders and shading.
Either way, using a table will be easier to maintain than any other technique. But any technique is better than trying to use the spacebar. If you haven't already, for your own good … please break this habit!

Secretarial Service - Providing Transcription



Transcription is one of the most profitable services you can provide in your secretarial service. You can provide business transcription, general transcription, legal transcription, and medical transcription.

Provide these guidelines to your transcription clients to get quality transcription work, avoid time delays and mistakes, and reduce transcribing fees.

1. Use a good quality microphone. Position the microphone near all speakers.

2. Check the batteries in the dictation equipment.

3. Use tapes designed for voice dictation. They filter out background noise. Demagnetize and clean tapes regularly.

4. Erase the tape before dictation and indicate the end of the transcription to avoid transcribing old materials.

5. Rewind the tape to the beginning of the dictation.

6. Dictate in a quiet environment. Turn off the TV and radio. Distance the microphone from air conditioners and fans. Avoid noise, music, and acoustics in restaurants, outdoors, and airplanes.

7. Speak clearly. Instruct people not to talk simultaneously. Identify all speakers.

8. Don't eat or drink when dictating.

9. Discuss the purpose of the transcription and style preferences with the transcriptionist. Do you want a verbatim transcript for legal purposes? Do you want to include sounds like uh, um, hmmm? Do you want to indicate laughter and long pauses?

10. Avoid delays and costly revisions by spelling unusual words and words with questionable spelling, i.e. Kathryn, Katherine, Catherine, or Caterine. Provide supporting documents and words the transcriptionist may not be familiar with such as technical terms, names, streets, and cities.

Instruct your transcription clients to provide you with a high quality recording to get an accurate transcript at the lowest possible price.
